Settings

The Settings page lets you configure your organization's core settings. Access it from the sidebar navigation.

Company Information

Set your company's basic details:

  • Company Name — Your organization's name as displayed throughout the system.
  • Timezone — The timezone used for attendance calculations. All clock-in/out times are recorded in this timezone.
  • Logo — Upload your company logo for branding.

Overtime Settings

Configure how overtime is handled across your organization:

  • Overtime Calculation — How overtime hours are calculated (daily or weekly).
  • Overtime Threshold — Minimum extra hours before overtime starts counting.
  • Rounding — How overtime minutes are rounded (e.g., nearest 15 minutes).

Photo & Location Settings

Global settings for attendance verification:

  • Require Photo — Master toggle for photo requirements on clock-in/out.
  • Photo Quality — Minimum resolution for attendance photos.
  • Location Accuracy — Required GPS accuracy in meters.
  • Maximum Distance — How far from the workplace an employee can be and still clock in.

Note: These are global defaults. Group-level settings can override these for specific employee groups.

Departments

Departments organize your company structure.

Managing Departments

  1. Go to Settings > Departments tab.
  2. Click Add Department to create a new one.
  3. Enter the Department Name.
  4. Click Save.

To edit or delete a department, click on it in the list.

Important: You cannot delete a department that has employees assigned to it. Reassign those employees first.

Positions

Positions represent job titles within your organization.

Managing Positions

  1. Go to Settings > Positions tab.
  2. Click Add Position to create a new one.
  3. Enter the Position Name.
  4. Click Save.

Workplaces

Workplaces define physical locations where employees work. They include GPS coordinates used for location-based attendance verification.

Creating a Workplace

  1. Go to Settings > Workplaces tab.
  2. Click Add Workplace.
  3. Enter the details:
    • Workplace Name — A descriptive name (e.g., "Head Office", "Warehouse A").
    • Address — The physical address.
    • Latitude and Longitude — GPS coordinates of the workplace.
    • Radius — The allowed radius in meters for clock-in verification.
  4. Click Save.

Tip: Use the map picker to set the GPS coordinates accurately. A smaller radius (e.g., 100m) provides stricter location verification.

How Location Verification Works

When an employee clocks in with location verification enabled:

  1. The mobile app captures their GPS coordinates.
  2. The system calculates the distance from the workplace coordinates.
  3. If the distance is within the defined radius, clock-in is allowed.
  4. If outside the radius, the employee is warned (or blocked, depending on settings).

Holidays

Holidays affect attendance calculations and are shown on the shift plan grid.

Managing Holidays

  1. Go to Settings > Holidays tab.
  2. Click Add Holiday.
  3. Enter:
    • Holiday Name — The name of the holiday.
    • Date — The holiday date.
    • Recurring — Whether this holiday repeats every year.
  4. Click Save.

Employees working on holidays may have different overtime calculations applied.

Leave Types

Leave types define the categories of leave available to employees (e.g., Annual Leave, Sick Leave).

Creating a Leave Type

  1. Go to Settings > Leave Types tab.
  2. Click Add Leave Type.
  3. Configure:
    • Name — The leave type name.
    • Default Balance — Annual balance allocated to each employee.
    • Allow Carry Over — Whether unused leave can be carried to the next year.
    • Max Carry Over — Maximum days that can be carried over.
    • Requires Approval — Whether leave requests need supervisor approval.
    • Allow Half Day — Whether employees can request half-day leave.
  4. Click Save.

Leave Balances

Each employee has a balance for every leave type. Balances can be:

  • Adjusted manually — Admin can add or subtract from an employee's balance.
  • Carried over — At year-end, unused balance can be carried to the next period (if the leave type allows).
  • Set directly — Admin can set an employee's balance to a specific value.

To manage balances, go to the employee's detail page and click the Leave Balances section.
